Microsoft does not back up and recover its subscribers' Office 365 emails and cannot help if unexpected data loss or damage occurs. At the same time, professional MSPs cannot offer Office 365 services to their customers without also providing mailbox backup services. Why do I need a backup solution for my customers' Office 365 mailboxes?

You may believe that Microsoft fully backs up Office 365 data as part of the subscription, but this is not the case. Office 365 was not built to provide data protection services.

Microsoft does not back up and recover Office 365 emails

Many Office 365 subscribers mistakenly believe that their data is fully backed up by Microsoft as part of their subscription. However, this is not the case: Microsoft does not backup Office 365.

• Microsoft is responsible for providing the necessary infrastructure and ensuring that Office 365 works. But it's the customer's responsibility to protect its Office 365 data from:
  • human error (such as deleted items)
  • malware and hacker attacks
  • malicious user actions
  • and so on.
• Microsoft doesn't provide native options to back up Office 365 mailboxes. It provides some very basic archiving, retention and recovery options, but cannot guarantee full and speedy restoration of data loss.

That is why you also need a robust backup and recovery solution to give you peace of mind.

Microsoft cannot help with unexpected data loss or damage

Having a solid backup solution in place ensures that even if items disappear from the mailbox or are rendered useless, the customer has access to a backed-up copy, eliminating repercussions that could arise from the missing data; thus ensuring business continuity. 

Once mail items are deleted or changed in Office 365, they stay that way. For example:

• A system admin who is rushed or is distracted by an emergency might unintentionally delete an Office 365 mailbox user.
• A user might accidentally or purposely delete an email.
• A virus infection or ransomware attack could impact and damage an organisation's mailboxes.

Problems with accessing and searching email data

By backing up all a company's mailboxes into one location, this data can be protected and stored centrally. This also provides easy access, searching and recovery. Ability to provide customers with mail backup services

Without a solution like Altaro Office 365 Backup for MSPs, there is no easy way for MSPs to back up emails for customers running Office 365, or to recover any lost or damaged mailboxes or emails. Yet, MSPs must be able to do this if something goes wrong with their customers' Office 365 emails. Sales Questions

Is subscription pricing per user or per mailbox?

Pricing is per mailbox per month, not per user. If one mailbox is used by multiple users, the fee is for the mailbox rather than for the number of people who have access to it.

For example, that if a company has a forwarding email address like [email protected], which forwards emails to [email protected] and [email protected], then that counts as 2 mailboxes in total, not 3 - the forwarding address ([email protected]) does not count as a mailbox since it is just a forwarding email.

What does pricing include?

Pricing is per mailbox per month. It is a single fee that includes:

• Mailbox backup
• Storage of backed up data
• Access to a central management console
• Round-the-clock technical support

You are only charged for mailboxes backed up per month – you can add or remove mailboxes according to your needs. You can scale up to tens of thousands of mailboxes.

There's a minimum payment of 30 mailboxes per month across all your customers combined.

Are there no storage costs?

No storage costs apply. Storage is part of the monthly all-inclusive price per mailbox. You have access to unlimited storage per mailbox, within acceptable usage levels.

Does Altaro charge extra when I perform a restore for a customer?

No. We charge you one fixed all-inclusive price per mailbox per month.

What if I do not have a minimum of 30 mailboxes to back up each month?

You can start with as few mailboxes as you wish, as long as you pay the minimum fee for 30 mailboxes per month. So if you wish to start with 10 mailboxes, you can – however, you will be billed for 30.

Do I have to subscribe to both Altaro VM Backup for MSPs and Altaro Office 365 Backup for MSPs?

No.The two are separate products and you can subscribe to one of these solutions without needing to subscribe to the other.

Technical Questions

Do I need to download or install anything in order to trial Altaro Office 365 Backup for MSPs?

There's no installation necessary. Simply sign up and connect an Office 365 account. Backups are taken automatically and saved to Altaro's Azure infrastructure.

How many mailboxes can be backed up?

Any number of mailboxes can be backed up. There's a minimum of 30 mailboxes required per month – across all your customers.

How frequently are mailboxes backed up?

Each mailbox is backed up to a maximum of 4 times a day. This is seamless to the user and takes place automatically – no interaction is required on the user's part.

Can we use our own storage for the backups instead of Altaro's Azure infrastructure?

All Office 365 storage is handled by Altaro and this cost is included in the price per mailbox per month. Data is stored in MS Azure blob storage. It is not possible to store the data elsewhere. There are currently no plans to allow storage to on-prem repositories or other storage accounts / cloud storage.

If we delete the Office 365 mailbox but want to keep the data, can we keep the backup?

Yes, there is an option to stop mailbox backups and retain the data. As long as the subscription is active, the content will be retained.

How long is backup data retained?

Indefinitely. Data is kept forever or until a subscription is stopped.

Where are the Azure servers located?

The Azure servers are in the Netherlands. We will eventually save to Germany and the US and elsewhere too – but no timelines on that yet.

Does Altaro Office 365 Backup for MSPs back up OneDrive and SharePoint?

Not yet – this is currently in development, however.

Will you do backup for Gmail?

Currently there are no plans to support G Suite (Google's office suite, including mail service).

How does it work if I use both Altaro VM Backup for MSPs and Altaro Office 365 Backup for MSPs?

If you subscribe to both products, then both products are accessible via your account on the Altaro Cloud Management Console (CMC). When using the CMC, you simply need to select which product you want to use – you can switch from one product to the other in the CMC.
